Who we are
QUILVEN, LLC (“Quilven”, “we”, “us”) runs revenue cycle management for medical practices. We’re a Wyoming limited liability company with our principal office at 1603 Capitol Ave, Cheyenne, WY 82001. You can reach us at info@quilven.com or (202) 490-9406.
What this policy covers
This policy covers quilven.com and our contact with practices and other visitors: website forms, booked calls, emails and phone calls.
It doesn’t cover the patient information we handle for client practices. That’s protected health information under HIPAA, and we handle it only under a business associate agreement (BAA) signed with the practice. Our Security & HIPAA page explains how.
Information we collect
Information you give us
- Forms. Your name, work email, practice name and phone number, plus the practice details a form asks for, such as specialty, number of providers, EHR, how much AR is over 90 days, or your answers to a few short questions. Some forms also have a message box.
- Booking a call. Your name, email and anything you add when you book a call through our scheduling tool.
- Our free tools. The calculators and checklists work in your browser. If you add a practice name to copy, print, email or save a result, we record the practice name and which tool you used, not the figures you entered. A few questionnaires also record your answers and, if you give it, a phone number.
- Emails and calls. Whatever you tell us when you email or call us.
Information collected automatically
Like most websites, ours records basic technical information when you visit: your IP address, browser and device type, the pages you view, the page that sent you to us, and when you visited. Our website platform collects this so the site runs, stays secure and shows us which pages people use.
The site’s fonts load from Google Fonts, so your browser sends your IP address and browser details to Google when a page loads.
Cookies and browser storage
We don’t use advertising cookies or ad pixels. The site keeps a few small items in your browser so it works properly: settings our website platform needs, and reminders of choices you make during a visit, such as closing a pop-up. Our scheduling tool may set its own cookies when you use the booking page.
How we use it
- To reply to you and provide what you asked for, such as a free audit, a credentialing plan, a quote or a call.
- To follow up with you about our services. You can ask us to stop at any time.
- To run, secure and improve the website.
- To keep business records and meet our legal obligations.
Please don't send patient information
Our website forms and ordinary email aren’t meant for patient information. Please leave out patient names, dates of birth, member IDs and claim details when you contact us. For a free audit, aging totals are enough to start. Once a BAA is signed, patient-level work happens inside your practice’s own systems.
Where information is processed
Quilven is based in the United States. Our team includes US and international staff, and some of our service providers work in other countries, so information you send us may be accessed or stored outside the United States.
How long we keep it
We keep personal information only as long as we need it for the purposes in this policy, including legal, tax and contract requirements. After that we delete it or make it anonymous.
How we protect it
We take reasonable steps to protect the information we hold. No website, email or internet connection is completely secure, though, so we can’t guarantee it.
Your choices and requests
Email info@quilven.com to:
- ask what personal information we hold about you,
- correct it, or ask us to delete it,
- stop marketing emails from us.
We may need to confirm who you are before we act on a request. Some US states give their residents specific privacy rights, and we honor requests made under those laws where they apply to us.
Do Not Track and other websites
Some browsers can send a “Do Not Track” signal. There’s no agreed standard for responding to it, so our site doesn’t change what it does when it receives one. We don’t track you across other websites, and we don’t use advertising networks. The services listed above receive limited technical information, such as your IP address, when their features load on our pages, and their own privacy policies cover how they use it.
Links to other websites
Our pages link to other websites, such as payer and government sites, LinkedIn and Trustpilot. Those sites have their own privacy practices, so please read their policies.
Children
This site is meant for healthcare businesses and isn’t directed to children under 13. We don’t knowingly collect personal information from children.
Changes to this policy
When we change this policy, we’ll post the new version on this page and update the “Last updated” date at the top. If a change is significant, we’ll also put a notice on our website.
